Our professional returning client is currently seeking a polished and proactive candidate to be the face of their smart Kensington office.
You will play a key role in ensuring smooth day-to-day operations, providing an exceptional first impression to clients and visitors, and supporting the wider team with a range of administrative tasks.
Working as part of a team, you need to be able to work on your own as well as collaboratively, be proactive when the office is quiet, be flexible when lunch is taken as the team cover each other and be technically savvy.
Nearest tube stations are Knightsbridge and Sloane Square.
Working days: Monday to Friday
Hours: 9.00 am – 5.45 pm (38.75 hours per week)
Reception duties include:
- Answering calls (including confidently handling cold call) for two incoming lines, transferring / taking messages as required.
- Ensuring awareness of staff movements, to knowledgeably handle calls and messages.
- Answering the front door using video entry system; meeting and greeting guests and dealing with deliveries etc.
- Managing meeting room bookings and refreshments.
- Checking ground floor areas daily to ensure guest areas are kept presentable, and reporting any issues to either housekeeping or building departments.
- Sorting and distributing incoming mail and newspapers.
- Managing outgoing mail (franking machine)
- Organising couriers and deliveries, including DHL & Fedex
Administrative duties include:
- Admin support for various managers, including typing of memos and minutes, creating packs for meetings etc.
- Overseeing two mailboxes and forwarding/responding to emails as appropriate.
- Collating and publishing the weekly diary movements for execs.
- Ordering stationery and other office supplies, ensuring kitchen supplies are kept well stocked.
- Management of office equipment (photocopiers, franking machine) and liaising with IT dept to ensure adequate stocks of toners
- First line invoice approval (re couriers, stationery etc.)
- Administration of the company’s external archives (recalling boxes, issuing destruct notices).
- Scanning / digitising documents/files.
- Updating and publishing telephone lists and liaising with Comms dept re any telephone issues or new extensions.
- Updating and publishing the quarterly Organisation Charts for the Group, using Visio.
Requirements:
- Previous and recent experience in a similar role
- Excellent interpersonal and organisational skills
- Articulate, approachable, organised and confident
- Discrete, articulate, and calm under pressure
- Pro-active/self-motivated/able to work under their own steam
- Reliable with excellent time-keeping
Salary: Up to £38k gross per year
Start: ASAP
Unless otherwise specified, a minimum of 2 years' relevant experience is required to receive the advertised rate of pay.
