On behalf of our returning well‑established, large Family Office client we are seeking an experienced, calm and robust PA to provide dedicated private support to their CEO.
This is a traditional PA role, where superb English written and verbal communication skills are a must.
The role covers full access to the CEO’s business and personal life, so discretion and professionalism are paramount. You will be trusted to manage complex schedules, international travel, sensitive information, and stakeholder interactions with precision.

Days of work: 5 days per week, Monday to Friday
Hours: 9.15-5.45, 37.5hrs per week
Duties include (but not limited to): Diary & Executive Support
- Manage the CEO’s diary via Outlook/paper diary, coordinating schedules across multiple time zones.
- Arrange virtual and in‑person meetings, including agendas, joining links, and papers.
- Liaise with staff to ensure rooms and refreshments have been prepared.
- Provide regular diary updates to the CEO’s driver and household staff.
- Coordinate with the country Housekeeper regarding weekends, guests, and anticipated travel.
- Act as gatekeeper, screening calls, emails, and requests, and prioritising matters for escalation.
Travel Coordination
- Arrange international and domestic travel including flights, accommodation, visas, and ground transport.
- Research and book best‑value options using corporate rates and loyalty programmes.
- Produce detailed travel itineraries and ensure documentation is accurate and issued in advance.
- Complete online check‑in and seat selection in line with travel preferences.
- Monitor and manage travel disruptions, making proactive amendments as required.
Administrative & Secretarial Support
- Provide comprehensive secretarial support, including drafting correspondence, emails, reports, and presentations.
- Manage document preparation, filing, scanning, and record‑keeping.
- Maintain an organised office environment, ensuring daily desk and workspace readiness.
- Make telephone calls on behalf of the CEO with professionalism and discretion.
Invitations, Events & Hospitality
- Log, track, and respond to all invitations, managing RSVPs and follow‑up.
- Organise social and corporate events, including shooting season, annual cricket match, and New Year’s Eve party.
- Manage end‑to‑end event logistics: guest lists, invitations, menus, wine selection, accommodation, and transport.
- Oversee Christmas arrangements, including cards and gift procurement.
Finance/General Administration
- Maintain records of subscriptions, memberships, and renewals, ensuring timely payment.
- Process business and personal expenses, reconciling receipts and preparing submissions for Accounts.
- Track travel and charitable donations for UK and US tax reporting.
- Ensure financial records are accurate, organised, and compliant with internal processes.
- Maintain detailed inventories of the wine collections. Assist the curator with purchasing and organising deliveries of art purchases
Stakeholder & Ad Hoc Support
- Provide ad hoc administrative support to senior executives as required.
- Coordinate across household, business, and personal affairs for the CEO.
- Handle highly sensitive information with discretion, confidentiality, and professionalism at all times.
Salary: Up to £60,00 gross per year
